Board Minutes of Jan 16, 2001 LSO Meeting

The meeting convened at 5:30pm. at SIRLS
Ingrid recommended bringing board minutes to each meeting for approval.
Lisa reported an $80.00 refund from El Parador for the vegetarian entrees that were not served and one beef dinner, El Parador also included a $25.00 gift certificate with the refund.
Ginger will sign over treasurer duties on Wednesday Jan 17, 2001.
Christine suggested social activities to include the possible formation of an Intramural softball team. Team may include students, faculty and staff. Ten players are needed. Team registration must occur by the 23rd of Jan 2001. Anyone wishing to sign up is to contact Christine prior to the 21st. LSO agreed to pay the $50.00 registration fee. The joint LSO/ SLA welcoming Pizza Party is tentatively set for Saturday, Feb 3 at 5:00pm at SIRLS pending ok from SLA Board on Jan 17. Christine also suggested weekend hiking activities, Picacho peak was mentioned as a great spot for wildflowers and a midway location for students from Phoenix and Tucson. Happy Hours at Gentle Ben's were agreed upon for between 4:00 and 7:00 every other Friday beginning Jan 19th, with the option to change location in the future.
Andrew discussed programming ideas and has emailed several library folks to offer them the opportunity to speak. Lisa recommended Elaine Valenzuela as a speaker on library services for Spanish speakers. She also recommended Bob Diaz to do a presentation on interviewing. A brown bag talk by Jan Knight, 2000 ALA representative, was also mentioned as an option.Discussion ensued on finding a LSO/ALA member to attend this year's ALA meeting.
LSO board members agreed to promote the organization in their classes and remind students of $10.00 annual membership fee. Lisa showed revised LSO pamphlet will have them available in the LSO mailbox at SIRLS for class distribution.
Elisa and Shelly, Fundraisers, will be responsible for raffling the El Parador $25.00 gift certificate at the pizza party. A different raffle of a $25.00 online book gift certificate will be raffled to distance students.
Lisa is updating the LSO website, www.sir.arizona.edu/lso and is seeking feedback on ease of use and content. She reported that LSO membership forms are available online. We are unable to take credit card payments and forms with payment must be mailed. Discussion continued with suggestions of informal computer lab workshops for SIRLS students, ideas included WebCT, server and network basics, and database management contingent on available software. Using LSO funds to purchase additional software such as Publisher and Endnote was discussed.
Consideration was given on how to include distance students and whether or not to allow non LSO members to attend. It was agreed all students would be welcome and that we should use the workshops as a way of promoting LSO membership.
Lisa reported that the ALA Committee on Accreditation will visit SIRLS in the spring. A survey generated by the COA Facilities Committeee will be posted to the listserv.
Jennifer will supply Lisa Hussey with an updated newsletter.
Shelly will keep track of and remind LSO members when their membership payments are due. Elisa contributed another fundraising idea, asking faculty to donate items or services for raffle, for example a dinner for four cooked and served by faculty member, weekend getaways etc.
Brooke Sheldon will be invited to the next general meeting scheduled for 7:00pm, Feb 3 at SIRLS following the pizza party.

The meeting convened at 6:45 pm. after a successful welcoming pizza party hosted by the LSO and SLA-thanks to Christine and others. Winners of the drawing: distance student Nikol Price and Tucson student Stacy Stolmaker.
After introductions it was decided to dispense with previous meeting's minutes.
Treasurer's Report: Ginger As of Jan 8, 2001 balance of $442.07 rcpts. $80.00 El Parador dues $40.00 T-shirt sales $12.00 printing $12.81 total $144.81 one payout $10.00 balance up in till Feb 3=$586.88
Social Activities: Christine Happy Hour will continue every other Friday evening 4:00-7:00pm Feb 16th at Gentle Ben's Possible change of location for the following Happy Hour- Nimbus Brewery was suggested. Betty Marcoux offered her home for an open house
Program Coordinators: David and Andrew Jan Knight will speak about her experiences at the 2000 ALA summer conference at a SIRLS, tentatively Tue, Feb 13th LSO will feed the masses. Mary Feeney offered to make a presentation on job interviewing, prior to date of LA library recruiters. Ruth Dickson, Main Library Reference Librarian offered to do a presentation on balancing being a parent and librarian. Kris Maloney of Electronic Services (systems) also offered to do a presentation on digital libraries.
Webmaster: Lisa Has been doing minor "tweaks" to the site.and adding LSO handbook information. The first computer help session facilitated by Lisa and Tracy Cook was a success and more are planned for the future. Two students attended and received one-on-one HTML assistance. Lisa also reported on the Committee on Accreditations Oct, visit and enumerated on the Facilities Survey that is circulating, the deadline for the survey is Feb 27th. There are also additional committees that need students. The rough draft of the report must be completed by May.
Gwen: Reported that offers were made to three of the six candidates. They are in the negotiation phase and expect 2 out of three to accept positions. The department has received additional applications and are prepared to interview.
Fund Raising: Elisa and Shelly Have been brainstorming on ideas and will meet on Tuesday ideas include involvement in Spring Fling, online auction, software donations and other activities involving the faculty.
New Business Self- nominations were made by Rob Lindley, Chris Novak, Gary Dutra and Ginger Cullen to be LSO representative at the 2001 summer meeting of the ALA to be held in San Francisco. Nominees must be a student in the fall.Andrew will email Jan for a description of specific duties. As stated in the LSO Constitution you must be a member of ALA and LSO to vote.
The next meeting will be held at 6:30pm, Tuesday, Feb
20th in CBS 202, the building with the little people across the entry
way across from the Student Union.

The following corrections were made to minutes of Feb 3, 2001; changing Jennifer Landwehr, Newsletter Coordinator's, name to attending board member list from the general list of attending LSO members and that Mary Feeney had not made an offer to present a job interviewing workshop.
Reports
Programs: Andrew Kaplan Reported that the last two events were successful
and that he and David are slowing the pace down. David is working
on some not yet confirmed options for future events. Possibilities
include a resume workshop with Bob Diaz in March, reference desk training
for graduate students with Social Science librarian Vicki Mills in
April, and Ruth Dickstein doing a gender related presentation. Ingrid
suggested asking Bob Diaz if it would be possible for him to review
a few resumes prior to workshop.
Treasurers report: Ginger Cullen Balance as of Feb 6, 2001 $561.24 rcpts $134.82 dispersements $37.21 balance $658.85 Ginger contributed ideas on fundraising, that in addition to the money can for the tee shirts we might tape an inventory sheet to wall to track sales and stock. Another suggestion was a thermometer picture filled in to note funds raised. She also suggested offering a chance to win a door prize at the next LSO event to folks wearing LSO tee shirts.
Fundraiser: Shelly and Elisa Once the LSO tax exempt number is tracked down solicitation for donations of raffle items from restaurants, software companies, and bookstores will begin in hopes of having one raffle a month. Arrangements are in the works in the Tucson and Phoenix areas with restaurants such as Sweet Tomatoes and JB's to act as venues for library professionals, alumni, grad students and library related folks to meet for informal dinners. The LSO potentially will receive a % of receipts. The idea of requesting faculty to donate services or time as raffle prizes is still floating around. Elisa reported that her husband will donate one piece of hand made jewelry to the LSO.
Social Coordinator Ginger reported for Christine: One option for the May graduation dinner is holding it in the SIRLS courtyard which would be appropriately decorated . Issues such as lighting, weather, seating, alcohol and catering were addressed. The dinner date is tentatively May 11. Happy Hour is planned for Friday, March 2 at Garcia's on Congress-the old Carlos Murphy's. Possibilities might exist for carpooling. Social Activity: Betty Marcoux offered her home the eve of April 7 for an open house barbeque/potluck. Time will be announced when confirmed.
Rob Lindley: Is actively working on residency credit issue for weekend classes.
Webmaster: Lisa Bunker Reports that the Student Handbook is up and running, she will change background color and make navigation more intuitive. Lisa is seeking input from virtual students.

The graduation dinner will be held at Westward Look, Friday evening, March 11, 2001. Menu choices must be received three weeks prior to the May 11th date. LSO has agreed to partially subsidize meal costs for students and family members. SLA will possibly do the same. The meeting opened with a report from our treasurer. Ginger reported that LSO currently has $15.50. This amount reflects a check for $284.57 to cover Carla's gift and a slip cover for the sofa in the lounge. It also reflects a $500.00 deposit made to the Westward Look for the upcoming graduation dinner.
Plans for the graduation dinner are moving along. There will be a menu taste test this Friday, April 13. Vegetarians will be served Risotto and Vegetables. LSO Board members will be choosing from a wide variety of possible entrees for those of a carnivorous bent. As soon as the menu is set and LSO has prices, an e-mail will go out asking people to make reservations for the dinner and send in their checks for the meal.
Ingrid will be sending out an e-mail asking for nominations very soon. She will need nominations for next year's LSO officers. She will also be looking for nominations for a student speaker for the dinner. The student will need to be a May graduate who will actually be attending the dinner. Last but not least, Ingrid will be asking for nominations for the outstanding faculty member of the semester. Please send in your various nominations as soon as you see the e-mail. Brooke, our brand new director, has been confirmed as a speaker at the graduation dinner.
Shelly reported that Elisa is still working on what exactly our tax status is as a group.
The Phoenix happy hour went very well. LSO sold a couple of T-shirts and got several new memberships. Having a happy hour in Phoenix was greatly appreciated by people who are unable to attend these events in Tucson.
LSO will be hosting a table for Grad Week at UofA. The table will be set up from 4-7pm this Friday. Elisa and Ginger volunteered to work the table. Ingrid said that she could help out after 5pm and Lisa said that she would be there.
Our intrepid LSO officers have begun filling out the nomination form for ALA student group of the year. The deadline is April 15th so spare a thought for them as you are frantically finishing your end of the semesters projects and papers.
Nikol noted that LSO has done an awful lot to include distance students this year. She thanked the officers for making the effort to have happy hour in Phoenix and to host this meeting online so that virtual students could attend. This effort is truly valued.
